The coaches meeting was well attended. The meeting was chaired by John Fowler along with Tim and Rez.
Coaches were thanked for attending and for adjusting the new rues of play. JF and TT emphasised that Cirencester wants to keep kids playing and the club ethos is based on fun and inclusion. Winning is important but all those who turn up to training should be provided with opportunities to play matches, and it is important that players are not left on the sidelines for the whole game.
Paul Weavin asked for clarification re county cup etc. TT replied that there are key games where the best sides will probably be picked but this must be made clear to players and parents. Regardless, all players picked for a game should be given decent match time.
Use of clubhouse during weekdays.
The contract with Mighty Oaks has been renewed. This brings much needed funds to the club but gives them exclusive use of the clubhouse and the paddock between 3pm and 6pm on weekdays but they can be accommodating when necessary. If access to the club is needed during these hours, please contact Leigh or Pam and they will liaise with Might Oaks. Please give as much notice as possible.
No Dogs Policy
There is a strict No Dogs policy on the club grounds. This includes dogs on leads etc. Dogs can be walked in the Harebushes to the side of the pitches, and are allowed supervised in the clubhouse.
Gloucester Rugby Connections Scheme
This gives discounts on tickets for Gloucester home games, and the club benefits from cash back on tickets bought through the scheme (iro £400 last time).JF to advise further details to CRFC
A Gloucester Experience day has been booked for all minis on 30th Nov. This includes a coaching session at Kingsholm, opportunities to meet players and match tickets. Costs £20 per child, adults £28.
CRB / DBS.
The old CRB system has been scrapped in favour of the new DBS. Currently almost 60% of CRFC coaches are currently not CRB cleared. Emails re DBS will be sent out soon - please complete and return asap.
Membership fees are vital to pay club costs. Lists of paid up players will be sent out asap and coaches are urged to chase up those not paid up. JF to send out Age group by Age group updates of membership this week.
Ian Buswell said its not necessary to send passport photos and it is actually easier if a digital photo is provided instead. The cards for some age groups are due for renewal and these will be done on an age group basis. Some age groups need updated cards. Please can age groups advise that RFU ID Cards are with 3 years old.
JF reminded coaches and parents that the club has discretion for those with financial difficulties, and that no child should be denied membership on financial grounds. Parents and coaches can talk to Ian, John or Tim in strictest confidence.
CRFC M&Y has a great reputation for discipline and dont want to lose this. The codes of conducts should be followed at all games etc.GRFU Code of conduct Cards to be handed out to parents.
Paul Weavin is the liaison for any incidents or queries regarding club discipline.Any incidents should be reported to JF and PW.
First aid courses will be run soon. The club needs more first aiders and ideally need 2 per age group, and at least 2 trained first aiders at the club at all times. First aid kit is being ordered and handed out shortly.
Martin Woodward asked if qualifications achieved through work would be sufficient. JF requested a copy of the certificate and would check with The RFU and Marsh insurance.
Paul Ponting is the club safeguarding officer. Courses to be held on 4th Nov at the club. Ideally need 2 per age group, preferably parents who are not involved in coaching for impartiality.Further details from JF shortly
There have been occasions where referees are left to find their own way to the changing rooms etc. Please ensure referees are shown the changing rooms and welcomed to the bar after the games.
Please ensure touring teams are looked after and made welcome. In cases where teams have or will travel a long way, funds may be available to provide a proper meal - Liaise with JF who will liaise with Pam and Leigh.
Junior match food.
In discussion to ensure that food will be available after junior games. This will need to be heated up and cleaned up afterwards by the age group.Further details from JF shortly.
The CRFC Exec Team.
New exec members Rez (sponsorship) and Debbie (treasurer) were introduced.
Along advising who`s who on The CRFC Exec team.
70% of board sponsors now out of contract. Rez actively looking to renew and get new sponsors. 3 new sponsors signed up on 3 year contract worth over £900 each. The match board is now available for sponsorship. This is a prime advertising location. Also pitch boards are available. Rez has drawn up a proforma with options and costs and will make this available. There is also opportunity for match sponsors - this can include pre-match food if required. Further details from Rez.
Applications for development grants in preparation for total of £100k+. First to Glos County Council due this monday, other deadlines nov and dec. TT emphasised that in order to qualify for grants, the club needs Seal of Approval, and the more coaches with Level 1, CRB checks, first aiders etc that the club has, the more 'points' we get towards grants.
Mel will continue to organise the pitches for fixtures. Dean has offered the use of the army base pitches, and JF in contact with local schools to use their facilities, in particular for county cup where it is likely that pitches will be over-subscribed. JF requested that Coaches are asked to be flexible and accept that occasionally coaching will need to be off-site if many games are scheduled.
It is also likely that teams may need to share the changing rooms on busy Sundays.
Bar and Social
TT thanked Leigh and Pam for the general improvements in the bar and clubhouse since they have taken over as managers. Leigh and Pam are very flexible re opening the club for social events so please use them and the clubhouse for any social event if possible.
Communication has historically been an issue in the club. A newsletter will be available soon, which will cover club news, details of the proposed changing room developments etc.
RFU Young Ambassadors
This scheme aims to encourage young players (16-20 yrs old) to help plan the future directions for the RFU. They will also be involved in helping to plan for the RWC 15 and the games to be played at Kingsholm.
Dan Gordon-Walker and XXX from girls section have agreed to be young ambassadors from the club, but need at least 2 others from the club.
Please keep the Kit Shed clean and tidy. The lime marker will be removed shortly. Coaches were reminded to check when players put kit away.
Kit will be purchased if necessary but coaches are reminded that this needs to be shared. In order to identify what is actually available and what needs to be purchased, there will be a kit amnesty for kit kept in cars etc. A kit amnesty is now on until the end of September.
There will be a gum shield clinic next sunday(22/9/13. These will cost approx £30 incl moulds etc. Contact JF for further details
The club lottery will be relaunched next week and tickets will be available from the bar. This time, how the money is spent will be more visible, and will be included in the newsletter.
CVS and Minibuses
CVS have offered the minibuses for use, dependant on the driver having a MIDAS qualification (£80). Some minibuses can hold 16 which make them ideal for taking a team.All club bookings are to go via JF WHILE A TRIAL PERIOD IS IN PLACE WITH CVS.
Minibuses must be returned clean and tidy, and any Fuel used replaced.Plus Documentation must be completed.
Referee, 3rds and vets players and front man for the popular band In Between Days, Al Tindale, has been diagnosed with Acute Lymphoblastic Leukaemia and is currently undergoing treatment. The club will be supportings Al`s Charity in the future. Leslie and Chris Thorn are doing Sober For October and looking for sponsorship, many others are joining BATSO (Big Al Tindale's Sober Army). State of clubhouse. TT - this year the beer festival raised a lot of money, in part thanks to us now owning a marquee so reduced costs. Some of this money has been earmarked for complete renovation of the dry-side toilets. Also looking at options for replacing the floor. These costs will hopefully be offset against future clubhouse bookings as the state of the toilets and flooring often puts people off hiring the club for social
JF has funds available for a M &Y Coaches evening to include partners. Further details from JF.
Coaches reminded that 1st team players are available to help with coaching. Next week Paz is doing a scrum-half clinic, open to players and coaches. GRFU community coaches are also available to do one-off sessions which can be age-group or topic-specific. A request for Dave Barley who has offered a 1st class support to CRFC coaches will be sent shortly. CRFC would like to thank DB for some fantastic support with coaching ideas so far to date especially with The New Laws of play with the Minis.
Teas and Coffees at top pitch - The Exec & Club management team hope to have facilities up on the pitches shortly.
Car parking - Coaches are reminded that coaches, parents etc should not park behind the top pitches, and in particular around pitch 1. This obstructs access for ambulances and possible training areas, and will cause problems when weather is bad.Also requested that parents do not park on The Whiteway
1st Team mascots
Opportunities for minis players to be match mascots - this can be as an age group or individuals, and the 1st are keen to support. Contact Chris Thorn if interested.
